4. Who we share your information with

We do not sell your personal information.

We may share relevant information with service providers where necessary to operate our website, manage bookings, communicate with customers and protect our records.

These providers include:

IONOS

IONOS provides our website hosting and email services. Personal information may be processed through the systems used to host our website, operate our booking system and send or receive emails.

UpdraftPlus

We use UpdraftPlus backup software to create backups of our website files and database.

Depending on the information held on our website and included in each backup, these backups may contain customer account details, booking records, payment records and pet-related documents.

Dropbox

We use Dropbox to store our website and database backups created using UpdraftPlus.

We may also share relevant information with veterinary practices where necessary to arrange or support treatment for an animal, or with other organisations where disclosure is required by law or is otherwise lawful and necessary.

We aim to share only the information necessary for the relevant purpose.

Access to these documents should be restricted to those who need the information to manage bookings or provide appropriate animal care.

We retain these records for as long as reasonably necessary for boarding administration, animal welfare, business operations and any applicable legal obligations.

If you have questions about the information held in your account, please contact us using the details published on our website.

6. Cookies

Our website uses cookies and similar technologies to support website functionality, customer accounts and security.

If you leave a comment on our website, you may be offered the option to save your name, email address and website in cookies for convenience. These cookies last for one year.

If you visit our login page, a temporary cookie may be set to determine whether your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, cookies may be used to retain your login information and screen display preferences. Login cookies generally last for two days, while screen preference cookies last for one year. If you select “Remember Me”, your login may persist for two weeks. Logging out removes the login cookies.

If you edit or publish an article, an additional cookie may record the post ID of the article. This cookie expires after one day.

Other cookies may be used by website features or third-party services. Where consent is legally required for non-essential cookies or similar tracking technologies, we will seek consent before using them.

7. Comments and embedded content

Comments

When visitors leave comments on our website, we collect the information shown in the comments form, together with the visitor’s IP address and browser user-agent string to help with spam detection.

An anonymised string generated from your email address, also known as a hash, may be provided to the Gravatar service to check whether you use it.

Gravatar’s Privacy Policy is available at https://automattic.com/privacy/.

After a comment has been approved, your profile picture may be visible publicly alongside your comment.

Embedded content

Articles on our website may include embedded content, such as videos, images and articles from other websites.

Embedded content from other websites behaves in the same way as if you had visited the other website directly. Those websites may collect information about you, use cookies, embed additional tracking technologies or monitor your interaction with the content.

If you are logged in to an account with the third-party website, that provider may associate your interaction with your account.

Please refer to the relevant third-party provider’s privacy policy for further information.

8. Password resets and account security

If you request a password reset, your IP address may be included in the reset email.

We take reasonable steps to protect customer accounts and personal information from unauthorised access, loss, misuse or disclosure.

You should keep your login details confidential and contact us if you believe your account has been accessed without permission.

No method of electronic storage or transmission can be guaranteed to be completely secure.

9. Backups and data security

We use UpdraftPlus to create backups of our website files and database, which are stored in Dropbox.

Our backup configuration retains three backups and deletes older backups as new backups are created, subject to the settings and operation of the backup system.

Backups may contain personal information held on the website, including customer accounts, booking records, payment records and pet-related documents.

Information may therefore remain in a backup for a period after it has been deleted from the live website.

We take reasonable steps to protect the information we hold and to restrict access to authorised users. The security measures applied to individual backup files depend on the configuration of the backup software and storage services.

10. How long we retain your information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing boarding services, managing bookings, handling enquiries, maintaining financial records and meeting legal obligations.

Retention periods may vary according to the type of information and the circumstances.

For example:

  • Customer and booking records may be retained for business administration, customer service and the management of disputes.
  • Financial records may need to be retained to meet applicable accounting and legal requirements.
  • Vaccination records and pet-care information may be retained for as long as reasonably necessary to manage boarding arrangements and meet relevant requirements.
  • Website comments and their metadata may be retained indefinitely to help recognise and approve follow-up comments automatically.

We periodically review the information we hold and securely delete or anonymise information when it is no longer required, subject to applicable legal obligations.

Information included in website backups may remain in those backups until they are deleted through our backup retention process.

11. International transfers of personal information

Our website hosting, email and backup providers may store or process information in different countries.

Where personal information is transferred outside the United Kingdom, we will ensure that any safeguards required by applicable data protection legislation are in place.

If you require further information about international transfers relating to your personal information, please contact us.

12. Google Analytics and website tracking

We do not currently use Google Analytics on our website.

If we introduce analytics or other tracking technologies in the future, we will review the relevant privacy requirements and update our practices and notices as necessary. We will obtain consent where required by law.

13. Your data protection rights

Under applicable data protection legislation, you may have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request erasure of your personal information in certain circumstances.
  • Request restriction of processing in certain circumstances.
  • Object to certain processing activities.
  • Request a copy of certain information in a portable format where applicable.
  • Withdraw consent where processing is based on consent.
  • Complain to the relevant data protection supervisory authority.

These rights are subject to legal conditions and exceptions. We may need to retain certain records to comply with legal obligations or establish, exercise or defend legal claims.

To exercise your rights, please contact us using the contact details published on our website.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator.

Further information is available at https://ico.org.uk/make-a-complaint/.

14. Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes to our website, booking system, business practices, service providers or legal obligations.

The latest version will be published on this page, with the date of the most recent update shown at the beginning.

Where changes materially affect how we process personal information, we will take any additional steps required by applicable law.
